Executive Assistant

The Executive Assistant is the face of our firm. Core responsibilities include scheduling & confirming appointments, greeting visitors to our office and managing social media content. The candidate must be highly organized and efficient, be able to handle a variety of tasks simultaneously, as well as special projects. Excellent communication and strategic thinking skills are vital attributes of this position.

In addition to the qualifications listed above, the ideal candidate will have the following credentials:

  • A minimum of 5 years’ experience, preferably in the financial services industry
  • Schedule management and coordination
  • Excellent computer skills; proficiency in Microsoft Office is a must
  • Excellent time management, organizational and communication skills
  • Experience and proficiency working with CRM software
  • Be a self-starter with lots of initiative
  • Social media savvy

Some of the specific duties will include:

  • Manage and coordinate schedules for partners of the firm
  • Manage CRM for the firm
  • Effectively communicate with clients, prospects, centers of influence, colleagues, etc.
  • Maintain website and all social media platforms; produce and post social media content
  • Plan, organize and coordinate events
  • Prioritize and delegate emails, postal mail and phone calls
  • Provide administrative support to partners of the firm
  • Provide backup assistance for insurance underwriting and servicing

**NOTE: Office summer hours… Mon – Th 8:00 AM – 5:00 PM, Fri. 8:00 AM – Noon EST
